Deploy to your organization

Two things make up an organization-wide rollout: the software (the add-on in Docs, Sheets, Slides, Gmail, Drive and Forms) and the plan (who is on Standard or Pro and who pays). A Google Workspace admin handles the first; the person who owns the subscription handles the second. The two are independent: an admin install does not create seats, and seats work with the Chrome extension or an individual install just as well.

1. Install the add-on for everyone (Google Workspace admin)

Section titled “1. Install the add-on for everyone (Google Workspace admin)”

A super admin can install the add-on for the whole organization or for selected organizational units, so nobody has to find it on the Marketplace themselves.

  1. Open the GPT Workspace listing while signed in as an admin and click Admin install, or go to the admin console: Apps ➤ Google Workspace Marketplace apps ➤ Add app, search for GPT Workspace and choose Admin install.
  2. Pick Everyone at your organization or specific organizational units or groups, then accept the data-access permissions on behalf of your users.
  3. Leave Allow users to install on if some people should be able to add the single-app listings (AI for Sheets, AI Docs, AI Slides, AI Forms, GPT for Gmail) on their own.

The add-on appears for your users within a few hours under Extensions ➤ GPT Workspace in Docs, Sheets, Slides and Forms, and as a side panel in Gmail and Drive. Because the admin accepted the permissions, users are not asked to authorize the add-on individually.

If your domain restricts third-party apps, also allow the GPT Workspace OAuth client under Security ➤ Access and data control ➤ API controls ➤ Manage third-party app access, otherwise users see “This app is blocked” when they sign in. The permissions page lists exactly what the add-on asks for.

If you prefer the browser extension, Chrome Enterprise admins can force-install it with the extension id from the Chrome Web Store listing through Devices ➤ Chrome ➤ Apps & extensions.

2. Put everyone on one plan (subscription owner)

Section titled “2. Put everyone on one plan (subscription owner)”

One person subscribes to Standard or Pro and buys as many seats as the team needs (up to 100). Everyone else is a member: they sign in with their work Google account and are on the plan at once, with no card and no subscription of their own. Everything is billed to the owner’s account on one invoice.

Open Settings ➤ Subscription ➤ Manage team or gpt.space/app/settings/team.

  • Seats: enter the total, click Review change, and the page shows what is charged (or credited) now for the rest of the period and what the next invoice will be. Nothing is charged until you confirm.
  • Add a teammate: type the work email and click Add. The person receives an invitation email. They must sign in with exactly that Google account: an alias or a personal account that forwards to the address does not carry the seat. Colleagues on your domain who already use GPT Workspace are suggested with one click.
  • Invited members have not signed in yet. Resend invite sends the email again; Reassign hands the seat to someone else when a person leaves; Remove frees the seat immediately. A removed member drops to the free plan on their very next request.

A member’s plan is read from the owner’s subscription every time they use the product. If the owner’s plan lapses, every member is on the free plan until it is renewed; once it is renewed, under the same or a new subscription, members are back on it without being re-added.

  • Per-seat caps: on the team page, set a default cap every seat inherits, and override it per member. The cap is the number of credits a seat may draw on your plan each 30-day cycle, chat included. A member who reaches it sees a message naming you as the person to ask; raising the cap or the next cycle unblocks them. Credits a member bought themselves are never counted against the cap.
  • Usage report: the same page lists credits used by each seat this calendar month and last, the last time each person used the product, and what is left of their cap. Export CSV downloads the table for finance or a manager.
